Overview
All sessions at the AI Psychology Summit are recorded. This policy explains what is recorded, our lawful basis for recording, how recordings are used, how long we retain them, and your rights in relation to the recordings.
Lawful Basis
We rely on legitimate interest (Article 6(1)(f) UK GDPR) as the lawful basis for recording sessions and for capturing chat or interactive contributions in which an attendee's personal data may incidentally appear. Our legitimate interests are:
- Allowing paying attendees to revisit Event material at their own pace
- Providing access to attendees who experienced technical issues during the live session
- Maintaining a complete record of the Event for CPD verification, complaints handling, and any future regulatory or professional-body enquiries
We have weighed these interests against the privacy expectations of attendees. Attendees are clearly notified before purchase, and again before each session, that recording is taking place. Attendee cameras and microphones are off by default, and chat contributions can be made anonymously on request.
What Is Recorded
- All speaker presentations and panel discussions are recorded in full (audio and video of the speakers' presentations, screen shares, and slides)
- The webinar chat may be visible in recordings if the chat feed is displayed during the session
- Attendee cameras and microphones are off by default
Your Camera and Microphone
Attendee cameras and microphones are disabled by default throughout the Event. If you choose to enable your camera or microphone during any interactive segment (e.g. a Q&A session), you acknowledge and consent to the possibility that your image and/or voice may be captured in the recording.
You are not required to enable your camera or microphone at any point. You can participate fully via the text chat.
Chat Contributions
Messages submitted via the webinar chat during the Event may be visible to other attendees and the hosts. If the chat feed is displayed on screen during a recorded session, your chat messages (including your display name) may appear in the recording.
If you prefer not to have your contributions recorded, you may choose not to use the chat during recorded sessions, or you may use an anonymised display name (contact us before the Event to arrange this).
How Recordings Are Used
Recordings are made available to registered ticket holders for the following purposes:
- To allow attendees to revisit sessions for professional development
- To provide access to attendees who experienced technical difficulties during the live event
Recordings are not used for marketing purposes without the explicit consent of all individuals who appear in them.
Access to Recordings
- Recordings are available to ticket holders via the attendee portal at aipsychology.co.uk/portal
- Access is available for 90 days from the actual delivered Event date (or, if the Event is rescheduled, 90 days from the rescheduled delivery date)
- After 90 days, attendee access to recordings is removed
Archival Retention
After the 90-day attendee access period ends, we retain an archival copy of the recordings for a maximum of 3 years from the Event date, on the legitimate-interest basis described above. At the end of that 3-year period, recordings are either deleted or anonymised by stripping chat metadata and identifying display names. We do not retain recordings indefinitely.
Distribution and Sharing
- You may not copy, download (unless a download facility is provided), distribute, share, broadcast, sell, or otherwise make recordings available to any third party
- You may not upload recordings, or excerpts of recordings, to social media, video-sharing platforms, or any other public forum
- Screen recording or capturing of the webinar is not permitted
Your Rights Under UK GDPR
If your image, voice, display name, or chat contribution appears in a recording, this constitutes personal data. You have the right to:
- Request access to any recording in which you appear.
- Request that your personal data be minimised. We will mute, blur, redact, or remove your display name and chat contributions on request. Where another attendee's data is intertwined with yours (for example, a back-and-forth chat exchange), we will minimise rather than refuse, even if full deletion of the recording is not feasible.
- Object to processing. You may object to your personal data being included in a recording on grounds relating to your particular situation. We will stop processing unless we can demonstrate compelling legitimate grounds that override your interests.

We will respond within one calendar month and apply the requested changes to both attendee-portal copies and archival copies of the affected recording.
