2. These Terms
2.1. These terms and conditions ("Terms") apply to your purchase of a ticket for the AI Psychology Summit and your attendance at the Event.
2.2. By purchasing a ticket, you confirm that you have read, understood, and agree to be bound by these Terms, our Privacy Notice, our Refund and Cancellation Policy, our Recording Policy, and our Code of Conduct, all of which are available on this page.
2.3. We may update these Terms from time to time. The version in effect at the time of your purchase will apply to your booking. The current version is identified by the "last updated" date at the top of this page.
3. Tickets and Booking
3.1. Tickets are available for purchase via our website at aipsychology.co.uk. All ticket purchases are subject to availability.
3.2. A booking is confirmed when you receive a confirmation email from us following successful payment. This email constitutes your receipt.
3.3. All prices displayed on the website are in pounds sterling (GBP). Neither Organiser is currently registered for UK VAT, so no VAT is charged on top of the displayed price. We do not apply any further fees or charges. However, if you pay using a card issued in a different currency, your card issuer may apply its own currency-conversion or international-transaction fees, which are outside our control.
3.4. Tickets are for one named attendee. If you are unable to attend and wish to transfer your ticket to a colleague, you may do so by emailing info@aipsychology.co.uk with the new attendee's full name and email address, up to 48 hours before the Event begins. No approval is required.
3.5. We reserve the right to refuse or cancel bookings at our discretion, including where we reasonably suspect fraudulent activity. In such cases, a full refund will be issued.
3.6. Discount codes are subject to their own terms (e.g. expiry dates, usage limits) and cannot be applied retrospectively or combined with other offers unless expressly stated.
4. Your Right to Cancel (Consumer Contracts Regulations 2013)
4.1. As a consumer purchasing online, you have the right to cancel your booking within 14 days of the date of purchase ("Cooling-Off Period") under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
4.2. To exercise your right to cancel, you must inform us of your decision by a clear statement (e.g. an email to info@aipsychology.co.uk, or by post to the address in Section 1) before the Cooling-Off Period expires. You may use the model cancellation form at the end of these Terms, but it is not obligatory.
4.3. If you cancel within the Cooling-Off Period, we will reimburse you in full using the same payment method used for the original purchase, within 14 days of receiving your cancellation notice.
4.4. If the Event falls within the 14-day Cooling-Off Period. Where the Event is scheduled to take place during your 14-day Cooling-Off Period, the service can only be supplied to you with your express consent that performance may begin before the period ends, in line with regulation 36 of the Consumer Contracts Regulations 2013. Where you give that consent at checkout and acknowledge that you will lose your right to cancel once the Event has been fully performed, the following applies:
- If you cancel after giving consent but before the Event begins, we will refund you in full, less a proportionate amount reflecting the service we have already provided (e.g. account set-up, webinar access provisioning).
- Once the Event has been fully performed, your right to cancel under regulation 36 ends.
If you do not give that express consent at checkout, we will not begin performance until the Cooling-Off Period has expired, which may mean you do not gain access to the live Event. In that case, you may cancel for a full refund under Section 4.1.
4.5. Your statutory cancellation rights under this Section 4 sit alongside our Refund and Cancellation Policy (Section 5). Where the statutory right gives you a more generous outcome than the tiered refund schedule in Section 5, the statutory right takes precedence. Worked example: if you book seven days before the Event, the tiered schedule in Section 5.1 would offer a 50% refund. Because you are still within the 14-day Cooling-Off Period and (assuming you have not given regulation 36 consent or the Event has not yet started) your statutory right entitles you to a full refund, you receive the full refund.
5. Refund and Cancellation Policy
5.1. Outside of the statutory Cooling-Off Period described in Section 4, the following refund policy applies:
- More than 7 days before the Event: Full refund
- Between 7 days and 48 hours before the Event: 50% refund
- Less than 48 hours before the Event: No refund (access to session recordings will be provided via the attendee portal)
5.2. All refund requests must be made in writing by emailing info@aipsychology.co.uk. Refunds will be processed within 14 days of the request being approved, to the original payment method.
5.3. If the Event is cancelled by us, you will receive a full refund regardless of when the cancellation occurs.
5.4. If the Event is postponed to a new date, your ticket will be valid for the rescheduled date. If you are unable to attend the new date, you may request a full refund within 14 days of being notified of the new date.
5.5. We reserve the right to make reasonable changes to the Event programme, including changes to speakers, session topics, or timings, without this constituting grounds for a refund, provided the Event remains substantially as described.
5.6. Where Section 4 (statutory cooling-off) gives you a more generous outcome than Section 5, Section 4 prevails. See Section 4.5 for a worked example.
6. The Event
6.1. The AI Psychology Summit is a live online event delivered via Zoho Webinar. You will receive joining instructions and a link to access the event by email before the Event date.
6.2. It is your responsibility to ensure you have a suitable internet connection and a compatible device to access the webinar. We cannot provide refunds for inability to access the Event due to your own technical issues.
6.3. The Event programme (speakers, topics, and timings) is subject to change. While we make every effort to deliver the programme as advertised, we reserve the right to make changes, including substituting speakers, at any time.
6.4. The Event is primarily intended for qualified and trainee mental health professionals. It is not a substitute for clinical supervision, professional training, or therapeutic advice.
7. Recordings and Content
7.1. All Event sessions will be recorded. By purchasing a ticket and attending the Event, you agree to the terms of our Recording Policy, available on this page.
7.2. Attendee cameras and microphones are off by default. If you choose to enable your camera or microphone during interactive segments, you consent to your image and/or voice being captured in the recording.
7.3. Recordings of sessions will be available to ticket holders for 90 days following the actual delivered Event date via the attendee portal. If the Event is rescheduled, the 90 days run from the rescheduled delivery date. After this period, attendee access will be removed.
7.4. Recordings are provided for your personal professional development only. You may not copy, distribute, share, broadcast, sell, or otherwise make the recordings available to any third party without our prior written consent.
8. CPD Certificates
8.1. A CPD certificate will be issued to attendees who attend at least 80% of the total session duration of the live Event. Certificates are issued on the basis of verified attendance records from the webinar platform.
8.2. Where you attend less than 80% live but watch the recordings within the 90-day access window, you may request a certificate by emailing info@aipsychology.co.uk confirming the sessions you have viewed. We will issue a certificate annotated to reflect on-demand viewing rather than live attendance.
8.3. CPD certificates are issued for informational purposes and for your professional portfolio. It is your responsibility to confirm with your professional body whether the Event meets their specific CPD requirements.
8.4. Certificates will be available for download via the attendee portal following the Event.
9. Intellectual Property
9.1. All content presented at the Event, including but not limited to presentations, slides, handouts, recordings, and supplementary materials, is the intellectual property of the respective speakers and/or the Organisers.
9.2. You may not reproduce, distribute, or create derivative works from any Event content without the prior written consent of the relevant rights holder.
9.3. Purchasing a ticket grants you a personal, non-transferable, non-exclusive licence to view the Event content (including recordings for 90 days) for your own professional development purposes only.
10. Code of Conduct
10.1. All attendees are expected to comply with our Code of Conduct, available on this page.
10.2. We reserve the right to remove any attendee from the Event, without refund, if they breach the Code of Conduct or behave in a manner that is disruptive, offensive, or harmful to other attendees, speakers, or organisers.
11. Limitation of Liability
11.1. Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by English law.
11.2. Subject to clause 11.1, our total aggregate liability to you in connection with the Event and your ticket purchase shall not exceed the price you paid for your ticket.
11.3. We are not liable for any indirect or consequential losses, including loss of profit, loss of business, or loss of data.
11.4. We are not liable for damages arising from any failure or delay in performing our obligations caused by circumstances beyond our reasonable control, including but not limited to technical failures of third-party platforms (e.g. Zoho), internet outages, power failures, or events of force majeure. This limitation applies to damages only and does not extinguish your right to a refund where the Event is not delivered. If the Event cannot be delivered, we will offer either a rescheduled date (with the right to a full refund if you cannot attend the rescheduled date, per Section 5.4) or a full refund.
11.5. The content presented at the Event is for general informational and educational purposes. It does not constitute clinical advice, legal advice, or professional guidance. You should seek independent professional advice before acting on any information presented at the Event.
12. Your Responsibilities
12.1. You are responsible for providing accurate personal information at the time of booking.
12.2. You are responsible for keeping your Event access credentials (login details, webinar links) confidential. You must not share your access details with anyone else.
12.3. You agree to comply with our Code of Conduct at all times during the Event.
13. Governing Law and Jurisdiction
13.1. These Terms are governed by and construed in accordance with the laws of England and Wales.
13.2. Any dispute arising out of or in connection with these Terms shall be subject to the non-exclusive jurisdiction of the courts of England and Wales.
13.3. If you are a consumer, you will benefit from any mandatory provisions of the law of the country in which you are resident. Nothing in these Terms affects your rights as a consumer to rely on such mandatory provisions of local law.
14. Severability
If any provision of these Terms is found to be invalid or unenforceable by a court of competent jurisdiction, the remaining provisions shall continue in full force and effect.
15. Entire Agreement
These Terms, together with our Privacy Notice, Refund and Cancellation Policy, Recording Policy, and Code of Conduct, constitute the entire agreement between you and the Organisers in relation to your ticket purchase and attendance at the Event.
